      Thank you so much. Both of your examples work perfectly for what I need. I have dissected Hans’ version and recreated it on my own it to another document just to see if I could figure it out. I did it!! Woo ho. Thank you both soooo much!

    • I have tried this for about 4 hours and I just cannot get it to work. So I searched MS’s knowledge base and found KB302665, which looks exactly like what I want. But, I can’t get that to work either. I am feeling pretty frustrated, but not ready to give up. I’m attaching a screen shot of what I have gotten so far with following KB302665. Any ideas on what I’m doing wrong? When I do the merge, it doesn’t show the property addresses (Address_1) listed. It does show just the landlord’s name (Descr) one time for each letter.

      When I used your suggestion, Paul, I also got one landlord name (not the mailing address) for each letter, but no list of properties for the landlords.

      I really appreciate your patience with me. Do you have any suggestions for what I’m doing wrong? I want a letter for each landlord with the landlord’s name (DESCR), landlord’s address (Mail_Address, Mail_City, Mail_State, Mail_Postal) at the top and a list of all the properties for that landlord in the letter. It shouldn’t be this hard. Of course, working with these merge codes like this is new to me. I’ve always used the wizard and been fine.

      Sorry for the late reply. This user is in a different office and our schedules don’t coincide that often. After more research, I have asked her more questions and am waiting for her reply. It sounds to me like Excel DOES take focus when she clicks a cell, but then it loses focus almost immediately. I asked her if it happens just the first time she opens the workbook and tries to use it for the first time (so is it maybe opening a dialog window behind the worksheet or behind PS). She said it only happens with this one workbook – originally she said all Excel files. So I asked her to call me so I can remote her PC and see exactly what is happening. I appreciate your thoughts and I will get back to you with either what I find out for an answer or with additional puzzle pieces. Thank you!!

      Hans, I found a tip from Suzanne Barnhill that said to separate the caption , format the 2nd part as something like body text, and hide the separating paragraph mark. It worked! Do you know of any pitfalls to using this method? I still need to learn how to use TC fields, but I’m trying to make this as easy as possible for the scientits to use in their reports. Thanks.

      yuk. Ok that’s sorta what I thought. I haven’t used TC fields before. I do know how to modify the options in the Table of Contents though. I’ll go read up on using TC fields and see what I can come up with. Thanks, Hans.

      Uh.. how do I add a function? I’m sorry, I don’t know enough about code to do any more than copy/paste it. When you say add a function to the module, please tell me how to do that? I know how to get to the code Hans gave me. But, where do I copy/paste yours to add it? Thank you so much for trying to help me.

      That works great, Hans. I showed them, and they liked it. But, they have asked if we can use some of the missing numbers, and not just have the new number be in consecutive order.
