      This has been most helpful. I have 2 more questions,

      a) if someone selects a distribution list from this dialog box, is there a (programmatic) way to list all the members of that group?
      how can you select names from a public or personal Contact folder? This dialog box only allows you to select from the Global Address List. (Perhaps I should post this question in the Outlook folder).

      This is very helpful. However, can the GetAddress method be used for multiple recipients, or just for selecting one person at a time?

      John, I am not importing the data, just linking to it. For example, in Access I set up a linked table and use the Contact folder as a data source. I am wondering how I can also link to the other information that I need.

      In Word I am simply referring to the Contact folder as a data source for a mail merge.
      In Access I link a table to the same Contact folder.

      I was wondering how to include some of the fields that aren’t in the contact folder.

      Thanks Hans. That worked. Now I have one more problem. After setting the printer, I cannot seem to save the report to the PDF file.

      a) If I use Docmd.OutputTo, I can only save it in one of the Microsoft formats (eg RTF, etc..) , which corrupts the PDF file.
      If I use Docmd.Printout, this doesn’t let me specify the destination.

      What is the best way to print to an acrobat file, in a specific location?

      We have a mail account called the “Conference Room”. So if someone wants to book the Conference room, they then send an appointment and invite the “Conference room”, as well as anyone else, to the meeting. The appointment then appears in everyone’s calendar.
