      If you look at Tools/Mail Merge and in Step 3, underneath the merge button does it say Query Options have been set? If so press the query button and press the clear all button

      Hello Garry

      I am assuming the document was produced in Word 97 originally. Now when it is opened and saved down, is it as a Word 97 doc? Have you checked the compatibility tab from Tools/Options/Compatibility to see if the recommended options are for Microsoft Word 2000? We had the same type problem when the firm upgraded to 2000. Once old docs were saved with the compatibility set for 2000 and as Word 2000 and not backwards to 97, lot of our problems started to go away.

      I am grateful for the replies and I will try all the suggestions. Hopefully, I will be able to offer some options to the head honchos. An added complication as I discovered last night while trying to work with some of the field codes is that the address that currently exists is a table, inserted into a frame (these templates were originally done in Word 6) and have some Word Basic Macros attached. And the address is a different combination of font styles.

      I am in favour of using some autotext, but I was instructed not to use autotext because they feel the secretaries are too stupid to understand autotext (never mind it is one of the first things I show them in training and they do use it quite a lot!). If I can create a template that stores the autotext in a file that doesn’t disturb the usual autotext entries then we may be getting somewhere. The original brief also called for one template that by a simple click would turn it into any one of the 32 templates that the company uses as standard. I must say I knocked that one on the head right there. Yet one person was convinced that he able to do this in old Word Perfect.

      How much of the template do you want to get rid of? The design templates control the Masters. A work around is to create the presentation with a design and then on the slides that you don’t want the design template – go to format/background and tick the box that says omit background graphics from master and apply it to that slide only. If you go to slide sorter view you can select just the slides you want by holding down the control key. As you probably know you can still change the fonts and formatting of the items on the slide anyway. To change it quickly, go to outline view and use the format painter.

      Have you tried opening the Slide Master and in the footer section, insert Date and Time and make sure you have selected the automatically update option or on a slide, go to Header and footer and select the slide tab and make sure the automatically update option is selected?

      What this shows me is precedents. I am more looking at dependents. Perhaps I did not explain it very well at the beginning. So I have attached a spreadsheet giving an example. Apologies for the childlike colouring on the spreadsheet

      Just to add to Jan Karel’s Post, when using Rows to repeat at top and Columns to repeat, remember that Excel repeats the whole row or whole column, so it is important that you print preview your worksheet. A common problem that comes my way is odd data appearing on the last page. It is usually because people have not taken into account data at the far right on the worksheet or way down at the bottom of a column.

      Insert the text as a piece of Word Art. Click the free rotate option on the Word Art Toolbar and invert away.
