Hi all,

Is there a way that we can refer data validation to list from another file/workbook?

I just tried to set up a list in one workbook closed it and then tried to reference it through data validation and the Mr. Clippy thing said that you cannot use data validation from another workbook so my guess would be No you can’t, however, that being said you can bet your life that somebody else here will prove me wrong.

It is possible, but it will only work if the other workbook is open. If the workbook is closed, Excel cannot read the list. So it is not a good idea. You can use a list in another worksheet in the same workbook, though.

You can do the following though:
– Open the workbook with the list.
– Select the list.
– Select Edit | Copy.
– Activate the workbook where you want to use validation.
– Select a suitable cell.
– Select Edit | Paste Special…
– Select the ‘Paste Link’ option.
– Click OK.

The copy of the list will be updated automatically if the original list changes.
You can use the local copy to act as list for validation.
