Hello,

I have a document with 3 three chapters. Each chapter has a separate bookmark and TOC based on styles.

I am currently in chapter 2 and I want to change the formatting of all of the paragraphs set up with the heading 5 style. However, when I put my cursor in a heading 5 cursor and press “select all,” it selects heading 5 paragraphs in my other chapters. But I don’t want to change the formatting of heading 5 in the other chapters.

Is there a way to select heading five only in chapter 2? Does it have ot do with bookmarks?

There’s only one Heading 5 style in your document, and it’s the style used by the Heading 5 paragraphs in every chapter.

It sounds to me like you want the Heading 5 paragraphs in Chapter 2 to be formatted differently than the Heading 5 paragraphs in the other chapters. I think it’s safe to say the “preferred approach” here would be to create a separate style (you could call it “Heading 5, Ch. 2”) that’s based on Heading 5, but adding whatever modification you want for Chapter 2 purposes. You can select all the Heading 5 paragraphs in Chapter 2 first by making the style area visible on the left (by clicking Style Area on the View menu, in Word 2002 anyway) and then clicking on the style name for each Heading 5 paragraph while holding down the Shift key. Then create the new style and end by clicking the Apply button.

The “non-preferred” approach would be to not create a new style, but instead just adjust the Heading 5 paragraphs in Chapter 2 by applying manual formatting. (Here again, you can select all the target paragraphs first using Shift-click, and then apply the manual formatting to all the paragraphs at the same time.)

UPDATE: Oops. To select multiple non-continuous paragraphs (in Word 2002 anyway), forget about Shift-clicking in the Style area. My bad. Instead, hold down the Ctrl key while triple-clicking within each of the paragraphs you want to select.

Hello, I am using Word 2003. When I go under the View Menu, I see no Style Area option that makes the styles visible. Do you know how it works in Word 2003? Maybe Format and then “Styles and Formatting”?

By default the Style Area is 0″ wide. To show it, use Tools>Options…, View tab, and then toward the lower right you will see where you can change the width. It would be more convenient if there were a toggle on a menu or toolbar. Maybe there is one, but I’ve never noticed it and didn’t find it in a quick look-about.

But please note that I updated my original post the next day when I realized that clicking on the style names in the Style Area didn’t work the way I remembered. Triple-clicking within each target paragraph while holding down the Ctrl key may be the easiest way to select multiple non-contiguous paragraphs.

And to add to what Jefferson said, the Style area is only visible when you use Normal View.
