Repeating title on each page

Hi there. I’m trying to propose a change to our current template, but I already know one issue that likely would be a dealbreaker. I’m hoping to find some alternative ways of handling this before I pitch the proposal.

In our current template, our information is stored in tables. The first table row is a Heading 1. Each subsequent row has a Heading 2 in the first column. The second column contains the data. This is attached as “template current.docx”. As you can see, information that spans more than one page is handled by having a heading row for Heading 1 and manually breaking the wall of text and including a (continued) on the Heading 2.

I’m playing around with doing this without tables. I have a mock-up attached as “template new.docx”. It flows nicely, but obviously there is no continuation of the heading styles without manually breaking up the text and inserting the titles.

I had hoped to put the Heading 1 in the section header, but that doesn’t get captured by the TOC. Also, I’ll be working with people who are not Word experts, and I don’t want to explain how to manage sections.

It seems to me like this task is impossible to do without manual breaks, but I may be lacking the imagination to pull this off. I’m hoping someone with a greater grasp of things could provide some alternatives. Thanks.

Maybe I am misunderstanding you, but it seems to me the simplest way to repeat the title on each page is simply to put the title in the header. Doing it that way won’t interfere at all with anything in the document. The only impact it will have is that it takes up some room on the page, and so if you have page breaks, it might cause some of them to be out of place.

I appreciate it.

I had considered putting the title in the header, but the TOC doesn’t pick it up. I know for certain that is a deal-breaker.

I suppose I could configure the TOC to pick up a hidden piece of text on the first page of each section and fake it, but I’m really getting into territory that I know is unknown for the authors who will be working in it.

That also doesn’t help if a Heading 2 entry continues to the next page. I can’t put those in the header.

If that still doesn’t make sense, I’d be happy to clarify more about “template current.docx”.

Yes, sorry. I may be getting ahead of myself, and I apologize.

Our current template displays the text in a tabular format. Each topic is a Heading 1, which is the first row of the table. With heading rows repeating, we can reinforce where the reader is by having the topic title repeat on each page. It also starts a new page. Within each topic are blocks. These blocks are labeled with a Heading 2. Most blocks are confined neatly in a space that fits on a page. Sometimes they don’t, which is why there is a “(Continued)” text. Both Heading 1 and Heading 2 styles form the Table of Contents.

This works because the text is in tables. Sometimes our authors will have issues with the tables (for example, deleting a paragraph between two topics which plays havoc with our repeating title!), so I’m wondering if there’s an alternative that looks similar but relies on paragraphs rather than tables. The mock-up I’m working with has a Heading 2 title on the left while the accompanying text is on the right with a heavy indent. Unlike our current template, this means the text is never on the same level as the heading, but I think I’m okay with that.

I shouldn’t have just thrown out examples without an explanation. That’s entirely my fault.

Ha! I found a convoluted way of handling the Heading 1 problem. I could insert section breaks between the topics and use a different first page. On subsequent pages, there is a x-ref to the heading. I can even add “(continued)” to it. Even though I could fake it well enough, I don’t expect this to work with the authors. I’d have to rig a button in VBA to add a new section. That means relying on the authors to not mess up the bookmarks. That’s a losing bet.

So I found a solution, but it’s not the appropriate one.

Simply add to the header a STYLEREF field that references the ‘Heading 1’ Style.

I just noticed that when I replied with quote to Paul, it converted the quote to all lower case.

As Paul said, you would want to have your Title as a Heading 1 style and use a StyleRef Field to replicate this in your header.
