Excel 2000. I have a database sorted by department. Within each department employees are sorted by last name. One column shows how many minutes each employee used his radio. I need the pivot table to show which employee used the most minutes within his department. I can get the max minutes but can’t figure out how to include the employee’s name who used the most minutes.

Help me please.

Attached find your workbook with a pivot table sorted the way I think you want it. To sort the name by minutes, double click on the Name field in the Pivot Table, select Advanced and in the AutoSort section click descending, and then choose Radio Minutes from the DropDown list.

This is very close to what I need – what I really really want is for the pivot table to only show the name of the person who used the most radio minutes without unselecting all of the other names. Any other suggestions?

Click on the Name Field, select Advanced, and in the AutoShow options, select Automatic, Show Top 1, and in the Using Field drop down, select Radio Minutes. You might also click on the Dept Field, and set SubTotals to None.

Okay – I give up – when I click on the name field I see absolutely no “advanced” choice! What am I missing?

You have to double click select “Advanced”, click “automatic” under “auto Show Options” and then select “Top” and scroll the arrow down to”1″. I did it for you and attached your file. Also, you have to double click on Dept and check off “none” for subtotals.
