We are a small company with our email being managed by our IP provider, we all have an email address and download to our own machines.

The boss has decided that he wants to be able to get to our emails at any time and I’m wondering if this idea will work.
I have the MS Personal Folders Backup addin (pfbackup.exe). If I set that to run each night to copy the inbox as a .pst file to each persons server folder and then set up the boss’s outlook with multiple accounts, each one looking to a separate .pst file, would that work that each day, his copy of outlook would show each person’s inbox up to yesterday?

Comments,suggestions ????

Note: We don’t actually have a server, what we have is a nas box which shares 1 access database and stores job photos and quotes etc on it.

Regards,

Allan

It isn’t necessary to create new accounts or profiles to open an Outlook data file (a PST). However, it can be a performance drain to open numerous file simultaneously. Microsoft says it doesn’t support connecting to PSTs on a network share, but certainly people have it done it numerous times over the years. Since they would be backups, the possibility of file corruption seems like an acceptable risk.

If something more real-time is needed, I wonder whether your ISP supports a rule on the server to copy each incoming message to a shared address (e.g., allourmail@company.com). You then could set up the boss’s main profile with access to that account (using IMAP, so it didn’t all flow into his regular Inbox). If there is no forwarding feature on the server, I think it could be set up in Outlook using a rule, but that might be less reliable. But it occurs to me that this wouldn’t capture sent items. Hmmm…
