Outlook 2007 backup or archive best way

At work I save 90% of the emails I receive and their attachments. Is there a way to export to PDF, a searchable database, etc all email over 2 years old. My folder structure is complex, as I have folders for every department and many co-workers. My PST file is 1.6 gigs. Are attachments stored in a different folder?

Much depends on how you’d like the data organized.

You could use autoarchive, set the archive characteristics in general and for any folder for which you need a different set of parameters. Then periodically you can create a new archive file – some people do this annually, some quarterly.

You can create a new PST file and just drag and drop the folders and content from you active PST to the new PST. Once again you can create a new PST periodically – whenever you think you need it.

You could create a PST for each department or co-worker or whatever you think you need and then drag and drop as in the previous step.

Attachments are stored as part of the email.

In Outlook go to Tools | Account Settings | Data Files. Click the “ADD” button.
