Had a quick look through the lounge but so far haven’t found an answer to this one… Is it possible to create a rule in Outlook that will scan the Inbox and move messages older than a certain age to another specified folder? I’ve had a few goes but have reached a dead-end and my hair isn’t looking quite so good with all these clumps missing…

If there is a way to do this then I’m sure the brains in the lounge will know how. Over to you…

If you’re looking for a Rule – as in the Rules Wizard – the answer is No – as the messages have already been processed.

One possibility is to use VBA code. I’m not sure whether it could be set up to run automatically. One of our Coding Wizards might be able to help more specifically here.

Another possibility is to use Views to change the Color Coding of the Messages. Buried in the depths of Views|Customise – or Define|Automatic Formatting|Add|Advanced|Field Date & Time is the option to create your own special Color Coding for messages over a certain age.

Ok, thanks guys. Some good ideas there- I already use the auto-archive feature, but hadn’t thought to use customized views. Have done that now, so have different colours depending on age, and it works really well! I knew you’d not let me down!

Remember that Views belong to PSTs and can’t be transferred. Thus, if you need to archive – or set up a new PST – and keep the Views, then you need to copy (and delete the surplus copies in the target PST). Also, if you ever receive advice to run the /cleanviews switch (if you have a PST problem), make sure you back up your PST first! HTH

It would mean upgrading to Outlook 2003, but if you did, you could use “Search Folders” to organize your mail. These are pretty cool. They show up as “normal” folders, but they are the results of search criteria , such as “Unread Mail”. “mail with attachments”, etc. You can create your own folders (older than, larger than).

Here, we found the Outlook 2000 -> Outlook 2003 upgrade the most immediately compelling. Especially as we were also upgrading our mail server from Exchagne 5.5 to Excahnge 2003. Search folders were one of the features that we really liked.

Can you use the “Auto-Archive” feature? The only issue with this seems to be that it only wants to put the mail into a separate .pst file.
