• Numbering (Word 2002)

    Hello everyone:

    I would like to know why I cannot create the following numbering:

    1.1 General Levels .1 blah blah blah

    1.2 Levels .1 blah blah blah

    1.3 Goverment .1 blah blah blah

    I have tried using the outlined numbers, under blah blah blah you would have .2, .3

      Dillon,

      Is the .1 in the middle of each line supposed to be part of the same numbering scheme as the 1.1, 1.2 and 1.3? Numbering usually appears just at the beginning of a paragraph.

      Can you try to explain the problem a bit more clearly. The text “blah blah blah” appears on every line of the example, and then you say that “under blah blah blah you would have .2, .3”

      Can you create the actual numbering you want to see, as manually entered text, and show us what it would look like.

        Thanks for your support, I apologise for not being more specific. I have enclosed the attachment for your viewing.
        The top section highlighted in yellow is from the original document; the second part, is my unsuccessful attempt of trying to duplicate the original.

        I would like to be able to create a style of some sort, however when I try to start a new section 1.2 the formatting does not work. I had to remove the left indent just to bring the margin back to the left side. It is not suppose to work like that.

          This is the closest I can do with styles. I have defined 3 styles called Level 1, Level 2 and Level 3, and they all use a numbering scheme called ListLevels.

          If you really need the first .1 to be in the same paragraph as the 1.2 then we will have to do something more complex.

            Thank you so very much; no I do not need the first one. The number only starts at 1.1 and so forth.

            One question for you, when I get to 1.1 – .3 what do I need to do to automatically make 1.2 appear? I am not good at styles. I was thinking of creating a custom style for this part, what do you think?

              Just create a new paragraph and choose Level 2. The numbering is associated with the style names.

              Wow, your too fast at posting; can I just copy what you have done. hopefully, I can analyze your contribution, the funny thing about it, is that I never will have to type the document myself, but I still want to master the style technique.

              I have checked out ShaunaKelly site, but I really did not get a practical opportunity, if you have any information on how I can learn from scratch, I would appreciate you providing a link

              The steps I went through were, roughly…

              Create a few paragraphs, Normal style, with some xxxx content.
              From the Format > Styles and Formatting menu, click New Style. Create a style called Level 1, based on Normal, and apply it to the first paragraph
              Now create a style called Level 2, based on Level 1, apply it to the second paragraph
              Then create a style called Level 3, based on Level 2, apply it to the third paragaph.
              Move the cursor back to the Level 1 paragraph
              Format > Bullets and Numbering > Outline Numbered
              Choose a list gallery entry that includes 1.1 at the second level
              Customize
              More
              Type ListLevels in the ListNum field list name
              Link level to style Level 1
              Aligned at 0cm, tab space after 1.3 cm, indent at 1.3cm
              Now click on the level 2 at the top left of the box, associate this with style Level 2, set the indents etc identical to level 1
              Now click on the level 3, associate with style Level 3, delete the 1.1. so that it says .1 instead of 1.1.1, aligned at 3.8cm, indent and tab space to 5cm.
              Now click OK

              The really important things to do with this kind of multi-level list are

              • Start by defining everything about your styles except for bullets and numbers, make sure you define a style for every level you will be using
              • Give the list gallery entry you will be using a name
              • Whenever you want to change the indents, spacing, numbers etc for ANY of the styles you must ALWAYS
                • Put the cursor in a paragraph at the top level before you click Format > Bullets and Numbering
                • Change all the indents, numbers and spacing for each level in the list that you need to change before clicking OK in this dialog box

              You must read minds! I was going to ask you some more detailed questions. I have been at this since 12.30 pm today.

              I will print out your instructions (fantastic) and mule of them for the rest of the evening, and start fresh tomorrow.

              Stuart, will you be thinking about purchasing the new word 2007? I played around with it the other day, I think the ribbon is fab, but I feel that the user looses control over the document. Not too mention the very simple details are lost in the shuffle.
