• Memo Fields Truncating

    Hi – I am fairly new at working with Access (using 2000) so forgive my ignorance! I have created a report that includes a memo field in the body. My problem is that when I use a query for my data, the memo field truncates even thought I have allowed it “to grow” in the format area. I have another report that uses a table for data and it prints the memo field (same one) just fine. Is there something I am doing wrong? I tried to link the original table to my query and use the memo field from the table instead of the query (hey its worth a try!) and still no luck – any help?

      Gail, memo fields are two part fields. Part of the field shows in the table view (or query view). The other part is stored in another area (don’t ask me where). Online help talks a little about memo fields.

      The query result you get is limited to displaying about 50 or so characters in table or query view. When you open a report or form, you can see all or most of the memo field, depending on how large your fields are set on your report or form. That is why you see the whole field in the report, but not the table.

      You are not doing anything wrong.

        If you want to see the entire memo field in query or table view, click in the field and type SHIFT F2 to zoom the field. But I get the feeling this isn’t really the problem you’re having is it? If you insert a memo field in a report and set CanGrow to yes it should display the entire memo field in the report regardless of the source table or query.

          I guess I wasn’t really clear about my problem – The memo doesn’t who up completely in a report that I wrote (no matter how large I make the field)when that report is based on a query. A different report, based on a table, shows the entire memo – does that make sense??

            Gail, if it works on one report and doesn’t on the other, then the reports must have different properties. Compare both reports, at the properties level, to see what the difference is. Also, do as Brian suggests and see if the CanGrow property is turned on in the report that doesn’t work.

        I never did resolve this problem. The project took a different turn and so the problem went away (or at least off of my desk!) Sorry I can’t help but if you find an answer, I would be delighted to know what it is!! – Gail

          Thanks, Gail. This is extremely frustrating. There’s at least one other post on Woody’s describing the same problem. I’m hoping a cure shows up. Thanks.

            Are those report fields cutting off at a similar length, or is it just randomly truncating data?

            If it’s at a similar string length, perhaps you are the victim of a memo to text conversion (with 255 as your limit)

            If it’s cutting off data indescriminately:
            Is the content flowing text, or do you have paragraph marks in there?

          One more sugestion:
          The field property can grow is set to Yes, but you have to set the property Can Grow of the detail section also to yes or your field will not grow bigger the the detail section
