• Inserting a file (Word 2000)

We are set up to send faxes over the LAN. However, we want to be able to use our own cover letter rather than the one that comes with the software. Every time I fill out my cover letter and then insert the document I wish to fax at the end, the formatting of my document changes. I have tried putting in a Break (Next Page) at the end of the cover letter, but it doesn’t help. I’ve tried copying and pasting. No good either. There must be a way, but I haven’t seem to be able to find it. Can anyone help me with this? Thanks!

Have you tried putting in a Next Page Section break instead of a hard Page break (Insert—Break—NextPage)

or pasting your document in as unformatted text (Edit—Paste Special–Unformatted text)?

I did try those. They didn’t work either. The unformatted text picked up the formatting from the fax cover letter. Besides, I want to preserve the formatting of the document that I’m inserting. I even tried it the reverse – inserted a section break at the beginning of my document and tried to insert (both as a file and by copying & pasting) the fax cover page. No luck!

The reason for this is that both documents are using styles with the same name but different characteristics. Pasting from one file into another automatically changes the new content to match the existing.

The way to get around this is to open the fax coverpage template and rename all the styles (eg put a f in front of each one) to something that is not used in the documents that you will be pasting content from.

If you look back through the archives you will find threads on this topic and even a macro to do the style renaming.

Sorry for taking so long to thank you. Your advise was right on the money! I did find the threads in the Archives and even used the macro. Thanks so much for sharing the info with me.
