• Indexing Multiple Documents (Word 2000)

    Hello,
    I have inherited over 100 documents of training materials. All are indexed.
    They don’t use heading numbering, so the page numbers in the index are simple.

    I am familiar with RD fields and would like to make a combined index but I need some way to identify which source document the index item is pointing to.
    Does anyone have suggestions? Could I put a bookmark in each document and use that as a prefix to the page number? I have a simple naming convention that could be used for the bookmarks.

      Hi Judith:
      The RD field will create a combined TOC, TOF, or TOA. Assuming that is what you want, you could put a document name in the heading style at the beginning of each of the documents. That would then show up at the beginning of each part of the TOC.

          Contrary to what Phil has said, you can use RD fields to create a combined index.

          Put an index field in the same document as the TOC field. It works. I have used it in the past and just checked that it works.

          The problem I have in this situation is that the page numbers are simple numbers eg 7 or 10 with no way to indicate which of the lessons the page is in.

          Last time I used a combined index, I was using folio-by-chapter numbering, each file was a chapter, and the page numbers in the index came out as F-7 and A-10 etcetera. It worked beautifully.
          This time we are not using heading numbering (and it’s outside my authority to change it) and I don’t know how to indicate the lesson description in the page number of the index.

            A couple of trivial suggestions.

            Can you change the starting page number of each document so that the page ranges don’t overlap, or do all documents have to start at page 1.

            Could you use manual formatting to distinguish the different documents? If you apply manual formatting to the indexed text in one document (for example RED text) then this will also appear in the index.

          Hi Karen:
          Definitely not one that is hyperlinked. I think the closest that you could come is to create an index in each document, use Find/Replace to add some reference at the beginning of the index to let you know what document it pertains to, & then copy them into a master document. Others may have a better solution, but I can’t think of one. Quite frankly, if I’m looking for something that may be contained in one or more of several documents, I use a search engine like Wilbur.
