We’ve been using Public Folders since time immemorial to host a Shared Contacts folder for an organization we work with. It’s worked wonderfully in the past, except for the one person who wants access on her phone, but “New” Outlook no longer supports Public Folders.
The conventional wisdom here is to make a shared mailbox and assign to all staff, then dump the shared contact list in that mailbox. None of us think this is an appropriate solution, particularly since it will also dump email and calendar folders for that Shared mailbox into Outlook for everyone.
By and large, the Shared Contacts holds contacts that every person in the organization needs to have access to – board members, community contacts, etc. There’s a couple of small distribution lists, but this isn’t a mass email situation.
At this point, I’m starting to look around for a way to link a Sharepoint List into Outlook or a 3rd party option for managing a list of shared contacts that doesn’t create extra work for the people who have to manage it.
How would you solve this?
