Generating PDF of a bulky document

Hi,

I have a word document comprising 345 pages and I need to generate the PDF of this word file. I am using Adobe Standard 7.0 for generating the PDF output, but everytime I initiate the PDF generation, the file crashes. If I use Print option to generate the PDF, the bookmarks and the links are not retained. Is there any alternative to resolve this issue.

What version of Word are you using?

If you have Word 2007 then I would suggest that you investigate the free Microsoft plugin which creates PDFs in all the Office 2007 applications. You should be able to find this on their website.

If you are using an earlier version of Word then there are few things you could try.
There is an MS hotfix which might apply MS kb952909
You can also go into the Acrobat settings and reduce the number of things happening in the script. If you turn all the options off apart from the bookmark creation then it work and then you can try again with other options turned on.

Bookmarks in Acrobat speak are called hyperlinks in Word. Even without specifically creating hyperlinks in Word, you can produce the same behaviour by Ctrl-clicking (depends on your Word options) on page numbers in a TOC or maybe a cross-reference. These navigational niceties can be very useful in the Acrobat file.

The original question was asking how to ensure the hyperlinks in Word make it through to the PDF. This can be done using Acrobat macros that Adobe provide which does a bunch of things to the document before it prints it to a PDF file. You can avoid these macros by simply printing to PDF once you have Acrobat installed but the hyperlinks then won’t exist in the Acrobat file unless you manually recreate them in the PDF. The problem is that the Acrobat macros have a long history of causing Word to crash because of the enormous resources they require on large files. Depending on the version of Word and Acrobat there may be different ways around this.

Bookmarks in Acrobat are indeed the TOC-style navigational device similar to the Word Document Map. These can be created automatically by the PDFmaker macros when using Word or after the PDF is created by editing the PDF using Adobe Acrobat. They can also be created from Word 2007 using the saveas PDF option if you have installed it.
Interestingly, although both Acrobat and Word have options to create the bookmarks based on the heading styles this is only partly true – they actually use the paragraph outline levels instead which by default corresponds to headings but can be manipulated. Word 2007’s saveas pdf is also a little different to the Acrobat PDFmaker in two ways.
1. Word saveas pdf can’t make each line of the TOC a hyperlink to the relevant page
2. Word saveas pdf allows you to choose if you want the PDF Bookmarks to be built from outline levels OR from Word Bookmarks

You and I may not be on the same page. By Bookmarks in Acrobat, I mean the TOC like pane on the left. Can these “bookmarks” be generated directly from a Word document? That would be very interesting.

Yes, they can. The Adobe PDFMaker Macro can create these from Word headings.

Yes, we can very easily generate the bookmarks (TOC pane docked on the left), using the Change conversion settings.

[*] Select the Adobe PDF menu available in the File menu.
[*] Select Change conversion settings.
[*] Select the Bookmarks tab. This displays all the bookmarks option.
[*] Check the Convert word headings to bookmarks.
[*] From the Element list (available in the bottom of this tab), Check the bookmark for the heading(s) that needs to be visible in the TOC pane, also define the level i.e, 1, 2 ,3 and so on to specify the hierarchy of the bookmarks that will be generated.

I’ve also had this problem at times – using Word 2002 (SP3) and Acrobat 7.0.5 Standard with Windows 2000 (SP4). I’ve found that by re-starting the computer, and running as few applications and processes as possible, the PDF file creation works.

Another option is to split the Word document into a number of smaller documents, then create the separate PDF files and combine them afterwards. The success of this might depend on the Word hyperlinks that you need to preserve, however.
