Export Public Folders (OL 2000 SR-1)

We have various contact folders on our exchange server in “Public Folders”. When you run the export wizard it only shows private/local folders.

We’d like to be able to export and be able to print a list of those contacts (and info).

I searched archives and a couple sites like slipstick, but can’t find any info. Is it possible??

There are utilities listed at slipstick.com that do this. You can also use access for this, by settng up a link. Choose Outlook as the file type, then you can browse the public folder tree to the contact folder you want.

not sure on importing to Access from public folders (I don’t have access installed on this machine to test it) but you can export only outlook *mailboxes* to the various file types except pst files. public folders can be exported to psts.

i’m not aware of any utility the exports public folder contacts. why can’t you copy them to your mailbox?

for printing, set a table view with the fields you need and select, copy and paste into notepad, word, excel – or even into a message form.

Not exactly sure of your direction. We have 50 or so users on exchange. Let’s say we create a public folder for contacts of those 50 people (Names, addresses, etc.)

Let’s say I want a printout to take home so I can send cards, emergency calls, etc. As far as I can tell there is no easy way to print all of those files to one ‘list’.

I don’t want to copy them to ‘my’ mailbox, as they already are on the server and we don’t want 50 people making copies!

first, not to blow your example out of the water – but the exchangre users should be in the GAL, not a PF.

Now using your example for the reason for the ‘export’ – my copy/paste view suggestion is perfect for this type of job.

for example, set the view (view > current view) to phone list. select a top contact, then hold shift and select one at the bottom. Everything in between should be selected. hit control+c to copy, open notepad (or a message form) and paste. all visible fields should be in the notepad file, ready to send to a printer or take home (or send home) as an electronic file. pasting into excel should preserve the columns, for easier sorting.

also – if your only purpose is for a printout, just print a table style print, after adding the fields you need to the view. i prefer to paste into word or excel, then print. i have more control over the final output – shaded lines etc.

You can copy from any table view – inbox, tasks etc – then paste into another file for printing, but it is probably the most useful for contact and task lists.

I don’t understand the GAL vs. PF. I assume PF is public folders, what is GAL and what are you saying?

GAL = global address list. Everyone who has mailboxes on the server should be listed in it. It’s the list that is normally shown first in the address book list. There are fields for the users address and phone #.

We are using GAL to the best of my knowledge as if I type in “JUL” for Julie Smith the computer finds it. However, I don’t know how to view the global list and edit it. Is it only on exchange? Can users see it?

In your example of typing JUL and having it resolve to Julie, you are using the GAL. There is a button on the main toolbar with a book icon, that has a floating help called “address book” that access it for lookup. There is a property page with fields for address-type information there. Most users don’t have the tools or rights to add/edit that. It is generally an Exchange admin. role. But if they have the rights, there are tools that will let them go in and change things like the floor, phone number, etc.
