• Defining a New Number Format

    I am using Word 2007. I am trying to define a new number format. However, every time I try to create the new format, changing font and other things, the OK button on the Define New Number dialog box is inactive.

    How do I do this?

      The OK button seems to work for me here when I try to define a new numbered format, so not sure why you’re getting the button inactive. What are the exact steps you’re taking, to get to that point?

      1. I click in a paragraph that already has numbering. It uses numbering to add the word “Note” to the beginning of a paragraph.
      2. I click the down arrow to the right of the numbering toolbar button, and click Define New Number Format.
      3. In the Define New Number Format dialog box, click Font.
      4. Change the font, and click OK.
      Now the OK button on the Define New Number Format dialog box is inactive.

      I found that I could define a new list format using a similar method with the Multilevel List toolbar button, but that seems overkill and potentially problematic since I only need the one level.

      Did you create the original ‘Note’ numbered style yourself, and did you create it using “Define New Number Format”?

      Just ran a quick comparison between versions of Word, and whereas in Word 2002 I can define “Note;” as the ‘number’ for both a numbered list and an outline numbered list, in Word 2007 it won’t let me do that for a numbered list, only for a multilevel list. (When I try to do it for a numbered list, the OK button is grayed out like you’re reporting.) It may be that using a one-level multilevel list is the only way to go in this case.
