• Count of Records (2003)

    I am creating a report based off of an audit on our nursing floors. There are many detail records under each floor. What I need is to know how many floors we audited and the number of records per floor.

    So, how do I count the floor 1 time but all the records underneath. Example…CCU and 5th floor….2 floors but 30 records for CCU and 20 for 5th and of course for grand totals…2 floors with a combined total of 50 records.

      Open the report in design view.
      Activate the Sorting and Grouping window (if it isn’t visible, select View | Sorting and Grouping).
      Make sure that the field that identifies the floor has been added to this window, and that the Group Header and/or Group Footer property has been set to Yes.

      Place a text box in the group header or group footer with control source =Count(*)
      This displays the number of records per floor.

      Place a text box with the same control source in the report footer. This displays the total number of records.

      Place another text box in the group header or group footer, with control source =1
      Set its Running Sum property to Over All, its Visible property to No and name it txtFloors.
      Place a text box in the report footer with control source =[txtFloors]
      This text box displays the number of floors.

        OK….I got a problem.

        Boss wants me to put my totals on the first page…..
        When I move my totals to the page header…it does not calculate correctly.

        HELP.

          Try putting them in the report header instead of in the page header.
