• Comment boxes are in the wrong place

    I’ve been given a problem worksheet by one of the users at my company.

    This spreadsheet has comments for many of the cells. When we try to edit the comment, the comment box expands, but appears hundreds of rows below the actual cell the comment is for (ie, the cell is at A1, but the edit comment box appears at A300).

    Anybody have any ideas on what causes this or how to prevent it?

      You can drag it back to where it should be. Could have happened if the comment was entered when the filter function was being used (only a guess).

        I wish it was that easy. It seems there are hundreds of comments in this spreadsheet, nearly one for every row.

        Not sure about the Filter function. That’s new to me, so I’ll have to play around with it to check on side-effects.

        I was wondering if it had something to do with deleting/cutting a bunch of rows out of the spreadsheet, but the owner of that file says that never happened.

      the comment is associated with the right cell but opens far from that cell?
      who ever added the comments moved the comment box around – when in view comment, it should have a line anchoring it to the cell. you can move the comment closer to the cell. w
      hen you hover on the cell, the comment always displays close to the cell.

        Can we be sure of this? Does anybody know of any instances where the comments can be moved on their own (deleting/inserting/moving lots of rows/columns)?

        I’ve already suggested to the owners of this worksheet that the comments were inadvertently dragged away. They, naturally, deny that that happened in any way.

        I’ve been banging my head against the keyboard trying to recreate the problem in a new spreadsheet or find something flukey in the problem spreadsheet.

          AFAIK, they don’t move when rows are deleted or added. The actual note box is anchored to a cell – not the cell it’s associated with when comments are visible – and it can be manually moved to a new location. But adding or deleting rows or cells between the comment cell and the anchor does not move the comment’s anchor under any conditions i’ve ever seen.
          That’s not to say it hasn’t happened in your case – has this book been used in other versions of excel?

      It is possible to move comments by inserting cells. When you either double click the border of the comment or right click it and choose format comment, you can click on the Properties tab and set the object positioning properties. If Move and Size with Cells or Move but Don’t Size with Cells is checked, inserting columns will cause your comments to move around. I don’t, however, know of any quick and easy way to move >100 comments back to where you would like them. HTH.

        If you click on Insert, comment, edit, you are able to see the comment and an arrow that points to the cell it applies to. Similarly, if you can see the comment on the screen but you can not see the arrow, this probably means that the comment box is sitting on top of the cell it applies to. Right click on the box and drag it a bit and you should be able to see the arrow.
