    In large office – boss wants to share calendar with several co-workers. All have the same settings, but one of the workers is unable to easily access the boss’ calendar. Can bring it up by “Open Special Folder” – “Other User’s Folder” – and naming the boss’ calendar; but this does NOT stay on the folder list as it should. Have to go through that menu every time. Works okay on everyone else’s machine, and the permission on the boss’ settings are set the same. Outlook 98 on Exchange Server. Any ideas? Is there a limit of how many can share?

      Don’t quite understand waht you mean by “Open Special Folder – Other User’s Folder” or “does not stay on the folder list” but it seems like you are saying that some workers have the boss’s calendar permanently displayed as part of their folder list – yes? Also, I assume you are using MS Exchange server.
      I think they have added the boss’s mailbox to their display.
      To achieve this, have the staff member open Outlook and go Tools | Services | select Microsoft Exchange Server then click on Properties | then click on the Advanced tab. In the Open these additional mailboxes field, click on Add and browse to the boss’s name. Click OK and boss’s name will appear in the field. OK back to Outlook.
      This will add the boss’s mailbox to their folder list display. When they open it, boss’s Calendar should be visible.
      Lots of assumptions in this answer, but hope this helps.

      how many other names are on the open list already? I thought if the limit exceeded, the oldest one would drop off and the newest would stay.

      But if you open the boss’s calendar very often, follow brian’s steps and open it as a mailbox in your folder list. No messing with the menu every time. it acts like your own folders instead of opening in a second window.

        Thanks for the suggestions from Brian and MJ. By “Open Special Folder” I meant if you are out of Inbox (into Outlook Today) and you click on File – Open — one of the choices is “Open Special Folder – Open other’s folder”. This is usually how we add someone else’s calendar to our folder list.
        I have already tried what Brian suggested (Tools- Options – Properties – Advanced) and it will get the boss’s folder to show up on the folder list, but it will not open.
        Could there be a problem with the permissions on the boss’s machine? I have checked it and he has everyone set with the same permissions, so it is stumping me. Perhaps I’m overlooking something? Tracy

          You must be using Exchange server with Outlook in Corporate mode, right?
          Try looking on the boss’s machine at the permissions granted at mailbox level for others to access. (Right click on the Outlook Today line, Properties | Permissions tab)
          Set these permissions for all the people who want to see his calendar. The permissions level should be the same as is being granted for calendar access (so if that is Editor, make the mailbox permission Editor). Then recheck the permissions on the Calendar folder for everyone who needs to access it – I know you said you’d done this – I’m a pedant)
          Hopefully, this plus the previous bit about adding the mailbox to the staff member’s Outlook display will allow them to Open the calendar.
