• auto reply (Outlook 2002)

    We are running Exchange 2000 with Outlook 2000 or 2002 clients. I am trying to set up an autoresponder for all incoming mail to a particular email address. Here’s the issue: We have setup an email account called ‘Help’. Full email address is help@[i]domain[/i].com. Actually, all messages to this mailbox will be coming from the outside. ‘Help’ forwards all messages to the email account of User A. This was set through Exchange, and not as a rule.

    However, we have set up a rule in User A’s Outlook client to respond using a template to all incoming messages from Help@domain.com. This seems to work fine if User A has her computer on and Outlook running. The auto replies do not get processed if her Outlook is not running. Even when she starts Outlook, if messages have come in while Outlook was down, the auto reply does not occur. Does anybody know of a way to have Exchange autoreply directly, or some other solution?

      Can you set the template up as an Out-of-Office reply and leave O-o-O on? An active O-o-O gets copied to the Server and operates independently of user Outlook-active status. (I guess by the nature of the service you would not want to use the Out-of-Office for this user in the usual manner.)

      If that doesn’t work, there are Exchange gurus here who should have a better idea.

        Good suggestion! This works great, except that the OoO assistant sends a message with the subject Out of Office Autoreply. Within the OoO setup, you can set a rule to send a template in response to an incoming message, but this, then, produces 2 message–the OoO autoreply and the one produced by the template. Can the OoO Autoreply template be altered, or can the rule be set NOT to send an OoO message, but to only process the associated rules? I could not find a way to do either.
