    I need to free up a users mailbox as he is out of space.

    I am trying to archive his e-mails that are more than 6 months old from an inbox with subfolders and even more subfolders. I send the .pst file to a space on the network, it SEEMS to work but if I look back in the folders and subfolders the old e-mails are still there. Why is this happening because it isn’t happening on other PCs?

    I am archiving not exporting and the e-mails are not marked as “do not archive”

    Any advice would be appreciated

      I don’t use the built-in archive features, but I think that every folder has a properties tab with the option to AutoArchive or not. Could that play into it?

        I checked the folder options and autoarchive has not been selected, which I think is the correct setting as I want to manually archive. I once had autoarchive set and my e-mails etc disappeared, shook me up until I found them on the c: drive.

        Reading in Microsoft support that if the outlook is installed for corporate or workgroup and the mailbox is full you can’t archive and the work around is to increase the mailbox, clean out your stuff, then archive.

        Since my original post, a couple PC’s that haven’t exceeded their mailbox limit are not archiving properly. scream

          I’m not exactly clear what you’re expecting. My experience of archiving between two PSTs is that dragging and dropping generally results in copying and not moving. Thus, when I have archived into the new PST, I have to go back to the old one and delete everything that I have archived. Your Mileage May Vary. HTH

            I use Outlook 2002. Dragging an item from one .pst file to another always results in moving the item.

              I definitely remember with 2000 that contents of folders ended up being copied – as partial archiving of folders meant double checking that there was neither inadvertent duplication nor inadvertent deletion.[ugh]

              With 2003, both folders and individual items move rather than copy (as is the case for 2002?).

            If I export, it copies. If I go File/Archive, then it should move the files to a .pst which I will store on elsewhere, such as on a disk or a space on the server.

              You are correct, it should move items to be archived. But you might have to do it manually to get the mailbox size under control. I thought that you could Shift-Drag items to Move them, and you should have either menu or right-click Move to Folder options which permit you to move to another PST, including an Archive.

              A couple of things I do, that you may not have thought about, to manage my server-side mailbox are to make sure I archive old Calendar items, and (if you have the Deleted Items Recovery Tool installed on your users, the add-in named ‘dumpster.ecf’), I clear it out by selecting (? from memory, as I’m not on Exchange at present) Tools | Recover Deleted Items, but then select them all and delete them permanently, don’t recover them.

              Generally you should emphasize to your users that they should be moving items to their PST storage and off the server. My corporate Server Admin regards this as a user responsibility, and running out of server mailbox storage to be a user problem, much like running out of gas/petrol is not your mechanic’s problem.
