I am a novice to Access and have constructed a database of client contact with their details from
an imported dbf file received from a bureau that sells this info. They have now sent me updated info(access table) with a text indicator in one field that tells me if the info has been updated in the last six months, a year or is new, blank if has not been. How do I overwrite the data in my current database based on the criteria in this field ?
Help !!!

Is there any reason why you can’t simply replace the entire existing table with the new table?

Why not create a make table query to separate the fields of data you added along with the primary key ID and as long as the table you have received contains the same primary key ID you can create a query to include all the fields from both tables for data lookup and entry.

Thank you for your suggestion. I am not sure I follow what you mean – could you elaborate please. Sorry to be such a pain, but I am only a novice !!!!

Let’s try this: first things first, back up your database.

With that done, I’ll operate under the assumption that each client has an ID of some sort that uniquely identifies them. Let’s simplify things by saying that there are only 3 fields of information you originally received, ID, Name and City, and since then, you’ve added a field of your own called Rank. In a query, you can link your original table with the new table based on the unique ID field. At this point, you can change the query to be an Update action query, and choose to update your original table with data from the new table, but you get to control what fields of information are updated. Make sense so far?
